MaxSys is currently looking for an Administrative Services, Intermediate for our Federal Client.
Secondary school diploma is required
Must clearly demonstrate 2 years experience within the past 5 years in composing correspondences that would sent to individuals outside of the organization.
Must clearly demonstrate 2 years experience within the past 5 years in working in an office environment.
Must clearly demonstrate 2 years experience within the past 5 years in working with Microsoft office products
Must clearly demonstrate 2 years experience within the past 5 years inputting and maintaining electronic databases.
Must clearly demonstrate 2 years experience within the past 5 years in planning of administrative tasks.
Implements and maintains administrative processes in use in the managers office. Complies with applicable processes for various transactions. Provides information on administrative procedures and requirements in consultation with functional specialists.
Organizes, arranges and provides logistics and administrative support for travel, meetings and other events. Maintains the managers agenda further to instructions; and prepares requests for travel, accommodations and advances,
Provides central coordination (reception and distribution) and liaison for communications to and from the managers office, including correspondence, files, reports and general enquiries; follows up on issues and action items, coordinates requests for services, reviews documents for compliance, appropriateness of signature and timelines; and prepares routine correspondence.
Codes, verifies and tracks expenditures, ensures accuracy of data and adjusts budget information; tracks and corrects errors; processes and reconciles transactions including travel claims and purchases of goods and services; produces monthly expenditure reports for the manager.
Maintains tracking, filing, databases, and reference systems for the organization, including receipt, tracking, filing, bring forwards and follow ups for all documentation and correspondence.
Inputs and compiles data in a variety of systems for reporting purposes. Searches for requested information, compiles references and background material, produces and proofreads documents for compliance with templates and preferred practices.
Provides general office support functions including: word and data processing, files maintenance, filing, mail, reception, processing claims, ordering supplies, coordinating equipment repairs, and drafting of correspondences.
Language: Bilingual Intermediate
Security Clearance: Enhanced Level
