MaxSys is currently looking for an Advanced Administrative Services for our Federal Client.
Ability to proof read documents including identifying errors in grammar, spelling, punctuation and accuracy of information.
Ability to provide advice and recommendations on applicable policies.
Ability to use Microsoft Office programs including: Word, Excel and Outlook.
Ability to effectively communicate orally
Ability to effectively communicate in writing
Ability to prioritize
Ability to work under pressure
Ability to analyze and resolve administrative problems
Knowledge of Section 32, 33 and 34 of the FAA
Knowledge of legislation, directives, programs and procedures related to departmental travel.

Schedules meetings and maintains control over the Director’s agenda; coordinates human resources, finance and administrative requests for his/her approval.
Makes logistical arrangements for meetings, conferences, workshops and other events including the issuing invitations and confirmation of participation; coordinating the preparation of required documentation; and arranging for required equipment and supplies. Also arranges travel requirements for the Director including the preparation of travel claims.
Manages the flow of information for the office including assessing material; identifies items that are urgent and as-signs them appropriately; and conducts quality control to ensure out-going information is in accordance with central agency and departmental guidelines.
Receives and responds to telephone calls and refers callers to the appropriate officials for action or follow-up on their inquiries.
Develops and implements guidelines and procedures to manage the flow and ensure the quality of official documents.
Researches and gathers information from hard copy files, databases and other sources for use by the Director, management and staff.
Liaises with counterparts in the offices of senior executives (DG or ADM), and other executives to request and/or provide information on behalf of the Director.
Participates in meetings; prepares and edits reports and presentations and participates as a member of various internal committees.
Prepares cost estimates and tracks expenditures related to travel, meetings, conferences, workshops and other events against allocated budget; prepares reports and drafts administrative documents.
If required supervises, trains and/or coordinates the work of staff.
