MaxSys is currently looking for a Records Management Clerk, Senior for our Federal Client.
Secondary school diploma is required
Must clearly demonstrate 3 years experience cross-referencing identified physical records (included in both records data spreadsheets and/or other applications/tools and on shelves) with records disposition authorities (DA) (and/or other records policy instruments).
Must clearly demonstrate 3 years experience in analyzing/applying records disposition authorities and/or other records policy instruments to physical records, and compiling the results/disposition recommendations/actions (to transfer or destroy) in a spreadsheet application (and/or other application/tool).
Must clearly demonstrate 3 years experience in communicating the results/disposition recommendations/actions to the physical records clients using templated communication products (such as emails and/or memorandums), and tracking the responses and/or lack of responses received in a tracking spreadsheet (and/or other tracking application/tool).
Must clearly demonstrate 3 years experience cross-referencing data exported/extracted from an EDRMS (GCDocs) to a spreadsheet application (and/or other application/tool) with physical records stored on shelves in a records storage facility, and identifying the discrepancies between both sources of records (data from EDRMS and physical records).
Must clearly demonstrate 3 years experience in extracting data on records from an Enterprise Document and Records Management System (EDRMS) (GCDocs) and importing the data to/manipulating the data in a spreadsheet application (and/or in other applications/tools).
Duties, but not limited to:
Planning, developing, managing Disposition processes/actions and delivering well-defined programs, projects and services.
Initiating and maintaining contacts with representatives of other departments and other levels DND branches.
Analyzing trends and developments in major high-profile projects.
Monitoring program activities against legislative and policy requirements to ensure compliance and alignment with Government of Canadas Information Management direction.
Planning, developing, recommending and implementing records and information management procedures, tools and practices based on existing departmental guidelines and frameworks and in consultation with the departmental functional authorities.
Providing advice and guidance to client organization managers and employees relative to programs and projects governing information and records Management policies, procedures, systems and associated matters and issues.
Analyzing physical paper records against the Records Disposition Authorities and engaging stakeholders in disposition of their records held in storage facilities.
Maintaining statistical data on disposition and following up with clients on disposition requests. Finalization disposition actions in EDRMS applications such as GcDocs and
Requirement to lift, carry, bend, stretch and climb to retrieve and put away files/boxes to a maximum weight of 30 pounds; there will also be a daily exposure to dust from boxes and files; requirement to wear safety toe shoes when working in operation zones.
