Office Admin & Legal - Ottawa

MaxSys is currently looking for a Senior Project Scheduler, Level 1 for our Federal Client.
• Secondary school diploma is required
• Minimum of a three year college diploma in an business, admin or related field OR
• A minimum of 5 years work experience in a related field.
• Must clearly substantiate and demonstrate that the proposed resource(s) have experience supporting a project management environment, IT environment and/or with Government of Canada financial systems
• Must clearly demonstrate that the proposed resources have at minimum 3 years of experience using the Microsoft Office Suite of products in a professional environment
Responsibilities may include:

• Reconcile financial spreadsheets
• Create and track orders in Procure 2 Pay (P2P)
• Create and maintain Task and Financial Authorization (TFA) forms, amendments as needed
• Submit Salary Forecasting Tool (SFT) changes
• Track the level of effort by all project resources in an Earned Value Reporting spreadsheet
• Maintain and update Project Documentation using EPS or other required SSC reporting tools/formats
• Participate in meetings with vendors, partners and other SSC teams
• Create and track Records of Decision and Action Items from meetings
• Follow-up with project resources on the status of specific project tasks
• Maintain project documentation in the GCDocs Information Management system
• Coordinate the sharing of documentation with stakeholders outside of SSC on different data networks
• Prepare formal status reports
• Coordinate weekly timesheets with employees on project through Enterprise Portfolio System (EPS)
• Coordinate all aspects of meetings
Deliverables are as follows:
• Updated project documentation as designated by Project Manager
• Completed TFA documents and any necessary amendments
• Monthly Earned Value reports
• Submit SFT change request as necessary
• Create balanced yearly budgets
• Project reports using templates required by SSC Senior Management
• A managed central GCDocs repository to ensure project documentation is organized and up to date – ongoing
• Communicated key project documents between stakeholders as requested
• Key Points, Records of Decision and Action Items for all meetings
• Meeting schedule for 40+ partners within the limitations of PM`s schedule
• Meeting schedule with Service Lines & related cost tracker
• Updated list of project personnel
